Loan policies, QA & maintenance

We use simple, practical policies to protect devices and ensure safe, inclusive use:

  • QA before dispatch: battery, firmware, MDM, assistive settings and accessories checked against a standard checklist.
  • Loan agreement: short, plain-language agreement (Easy Read available) outlining responsibilities, damage reporting and return expectations.
  • Maintenance: basic cleaning and firmware update guidance; we offer a refresh service for long-term arrangements.
  • Data & privacy: devices are wiped and re-imaged between loans. Any personal data must be removed by borrowers before return.
  • Insurance & risk: we advise partners on simple insurance considerations and provide procurement notes for sustained programs.

Evaluation & sustainment

Every loan comes with a short evaluation and handover package so organisations can make evidence-informed decisions about scale and sustainment.

  • Simple outcomes template for teachers and facilitators
  • Return checklist + user feedback form
  • Procurement-ready specs and budgeting notes for scale
  • Optional evaluation support and case study write-up

Frequently asked questions

How long can we borrow devices?
Typical loans are 1–12 weeks. For bespoke arrangements (longer-term or repeat programs) we negotiate a sustainment schedule and fee if required.
Can we request specialist AT?
Yes — AT trials are available with clinical/AT support where needed. We’ll scope the trial and include matching notes and configuration.
What happens if a device is damaged?
Small accidental damage is managed via repair or replacement; we discuss insurance or contribution arrangements for larger losses in the loan agreement.
Do you support families directly?
We accept individual referrals on a case-by-case basis. Schools, libraries or community organisations can also request devices on behalf of families.
How do we scale beyond a pilot?
After piloting we provide procurement-ready specs, costing, sustainment checklists and capability recommendations so services can be adopted locally or regionally.
